Room parent organizer for class parties, the teacher gift and volunteers

One place for the class year: party sign-ups, the teacher gift, chaperones and dates, and SuperCat in the class parents chat so parents can sign up or ask without you answering every message.

Send this to SuperCat

I'm the room parent for my daughter's 2nd grade class this year: 22 families, a group chat that gets busy, and parties, a teacher gift and field trips to organize.
Build us a small tool, and I'll add you to the class parents group chat so anyone can tag you to sign up for something, say what they sent, or ask a question. Ask me the teacher, the class list and the year's dates first.
Home screen: the one thing due this week and every event of the year with how covered it is.
For each party, a sign-up list of what to bring and helpers, with the class allergies on it.
The teacher gift: a goal, who has chipped in by child, and the total. Only I see who gave and how much; the chat only hears the total.
Chaperones and volunteers for field trips and library days, with whether each has cleared the school check.
When someone tells you something in the chat, update the tool and say what is still open. Never message parents first; I post reminders myself.

One place for the team's season: game times, the snack rotation, rides to away games and the coach gift, and SuperCat in the team parents chat so changes reach everyone without you retyping them.

Send this to SuperCat

I'm the team parent for my son's U10 soccer team this fall: 14 families, a coach who posts changes in the group chat, and a season of games, snacks and rides to sort out.
Build us a small tool, and I'll add you to the team parents group chat so the coach or any parent can tag you with a change or a question. Ask me the team, the families and the game schedule first.
Home screen: what is happening this week and anything still missing (a ride, a snack family, a form).
The games with time, field and arrival time, and who brings snacks for each one.
The snack rotation, so families can swap weeks, with the coach's snack rules and allergies.
Rides to away games: who drives which players and how many seats are left.
The coach gift: a goal and how many families have chipped in.

Co-parenting schedule with holidays, handoffs and shared costs in one place

A shared plan for two homes: whose week it is, a holiday plan, a list of what goes with the kids at each handoff, and shared costs split the way you agreed.

Send this to SuperCat

I share our two kids with their other parent and I want their weeks to feel calm and predictable, without every handoff turning into an argument.
Build me a small tool for both homes. Ask me the kids' names and ages, our schedule (for example alternating weeks or a 2-2-5-5), how we split holidays, and how we split costs.
Home screen: whose home the kids are at, when the next handoff is, and the one thing to do today.
A calendar for the next few weeks and the holidays, in a color for each parent.
A handoff list of what goes with the kids (the inhaler, the laptop, the soccer cleats) that either of us can tick off.
A shared costs page that adds up what each of us paid and says who owes whom, using the split I give you.
When I tell you something changed (the other parent asks to swap a holiday), tell me what the plan says and what the swap would change, and change nothing until I agree.
Say plainly that you are not a lawyer and that our agreement or court order comes first.

Homeschool schedule that flexes: lessons by child, progress and co-op dates

A plan for a whole school year: today's lessons for each child, what slid when a day went sideways, progress toward the finish date, and co-op and trip dates in one place.

Send this to SuperCat

I homeschool two kids and I want the year to feel steady, not like I'm reinventing it every Sunday night.
Build me a small tool for the year. Ask me the kids' names and grades, the start and end dates, the subjects for each child and how many lessons are in each, and which days we have co-op.
Home screen: today's lessons for each child, and the one thing I need to do today.
A week view that is flexible, not fixed: when a day goes wrong (a doctor visit, a bad morning), slide the lessons and tell me what it does to the finish date.
A progress page for each child: lessons done against the plan and whether we are on pace.
A list of co-op days, library trips, field trips and deadlines.
When I tell you something changed (my son is struggling with fractions), adjust the plan, keep the finish date if you can, and remember it for next time.
Say that homeschool rules differ by state, and that I should check what mine require.

House building timeline with decisions, lead times and budget in one place

A plan for a build that runs for months: where you are in the builder's schedule, what to choose before it slows things down, what each change costs, and what your builder is waiting for.

Send this to SuperCat

We are building a house and I want to always know what comes next, what it will cost, and what the builder is waiting on from us.
Build me a small tool for the build, for me and my partner. Ask me the address or lot, the builder's contract price, the builder's schedule (phases and estimated dates) and our reserve for changes.
Home screen: which phase we are in, how far through the schedule we are, and the one decision I must make next.
A list of decisions with a deadline for each, counted back from when it is needed and how long it takes to arrive (cabinets, windows, flooring, fixtures, paint).
A budget page: the contract price, approved changes, allowances we have gone over, changes waiting for our OK and what is left of the reserve.
When I tell you something changed (the builder wants to move a panel), add it as a change waiting for approval and tell me what to ask about cost and schedule before I agree.
Say that dates are the builder's estimates and not promises.

Bachelorette or bachelor weekend itinerary with who is coming, costs and a payment tracker

An itinerary for the weekend, a guest list with replies, the cost per person for each activity, and who has paid, shared by one link with the group.

Send this to SuperCat

I'm the maid of honor planning a bachelorette weekend for 10 people and I want the itinerary and the money in one place.
Build one tool: a day-by-day itinerary (travel, check-in, dinner, activities, brunch, check-out) with times, places, a booking status and a cost for each. A group list where each guest replies from a link without an account: yes or no, which nights, and dietary needs.
Costs per person: split the shared costs (rental, activities, group dinners) across whoever attends that part, show what each person owes, and let me mark who has paid. A packing and shopping list (outfits, matching items, decorations) with who is bringing what.
A group page showing the plan and what each person owes, and a separate page for the guest of honor that leaves the surprise parts out. Phone friendly.

Beach vacation packing list for the whole family: who packs what, by person

A plan for the day, not just a packing list: the forecast, when to leave, the car loaded in order, each parent's own jobs, and a sunscreen timer for the sand.

Send this to SuperCat

We're taking the family to the beach for a day with two young kids and I want it to be easy and fun, not stressful.
Build me a small tool for the two of us. Ask me the date, which beach, who is coming, the kids' ages and when the little one naps.
Home screen: the forecast and UV for that day, what time to leave and when to pack up around the nap and the traffic, and the one thing to do before loading the car.
The car, in the order it loads, with the shade and the cooler first. Split the jobs between my partner and me, each on their own phone page, and show what is done.
Ask what we forgot on past trips and put those on the list every time.
When I tell you something changed (the little one is still asleep), move the day and tell me what moved.

Cake order form and calendar for a home baker: orders, deposits and a pickup schedule

An order form customers fill in, a calendar of orders and pickups, deposits tracked, and a baking list for the week, with a daily order limit you set.

Send this to SuperCat

I bake custom cakes from home and take 10 to 20 orders a week through messages, and I double-booked a weekend last month.
Build one tool: an order form customers fill in from a link, with the date and time they want, size or servings, flavor, filling, design notes, a photo upload for inspiration, allergies and contact details. A limit on orders per day that I set: once it is reached, that day stops taking new orders.
A calendar of orders by day and a baking list for the week (what to bake, what to buy, what to prepare) built from them. A status for each order (new, deposit paid, baking, ready, picked up) and a deposit amount and balance.

Camping meal plan and packing list: meals by day, groceries and who brings what

A plan for a group camping trip: who is cooking which meal, what to buy and who buys it, shared gear without doubles, and a cost split at the end.

Send this to SuperCat

Four families are going camping for three nights and I want everyone to eat well and nobody to do all the work.
Build me a small tool for the group. Ask me the dates, the campsite, how many people, any allergies or diets, and how much cooler space we have.
Home screen: the one thing to do tonight, and who is cooking which meal. Break the trip into meals, let each family claim a dinner, and show which ones are unclaimed.
For each meal: how many it feeds, what to buy and who buys it, with allergies flagged and what goes in which cooler.
Shared gear (stove, big pot, can opener, lantern, firewood, water): who is bringing what, and tell me if two people bring the same thing while nobody has something else.
When I tell you something changed (an allergy, a late guest), update the plan and tell me what moved.

Family chore chart and allowance tracker: who does what, what is done and what is earned

Send this to SuperCat

I have three kids aged 7, 10 and 13 and I want a chore chart that runs itself without me nagging.
Build one tool: a list of chores by age and room, a weekly rotation that assigns each child their chores and swaps them every week, and a page for each child (a link, no account) showing their chores for today and the week with a button to mark each done.
An optional allowance: a dollar value I set per chore, a running total for each child, what is paid and what is owed. Show me a weekly summary of who did what and flag chores left undone.

I'm hosting a holiday cookie exchange for 15 friends and want to stop two people showing up with the same cookie.

Show the rules (how many dozen each person brings, how many they take home, packaging, date, time, address) at the top. I see the headcount, the cookies by type and a list of allergens in one view, and I can close sign-ups on a date and edit an entry.

Send this to SuperCat

I'm starting college in August and I want to move into my dorm feeling ready, without overspending or doubling up with my roommate.
Build me a small tool that tells me what to do and when, working back from move-in day. Ask me my move-in date, my budget, my school and hall, and my roommate's name first.
Home screen: how many days to move-in, my spending plan, and the one thing to do today.
Me and my roommate: what we each bring and what we share, and a warning when we both list the same thing (a mini fridge, a microwave). Give her a link to claim her items.
What my hall already has and what I need to bring. Check the hall's page, because bed size is often extra-long twin and some things are not allowed. Say where you found it.
When I tell you something changed (my mom wants me to bring a printer), tell me whether I need it, update the budget and say what moved.

I'm moving into my first apartment in five weeks and I want to feel set up, not overwhelmed, without overspending.
Build me a small tool that tells me what to do and when, working back from my move-in date. Ask me my move-in date, my budget and whether I have a roommate first.
Home screen: how many days until my first night there, my spending plan, and the one thing to do today. Some things have lead times, like a mattress or the internet install, so put those first.
A short list of only what I need on night one, and a clear list of what can wait a month, so I don't buy things I will never use.

Hospital bag checklist for mom, partner and baby, with who packs what and a ready-by date

Send this to SuperCat

I'm 30 weeks pregnant and want to walk into labor calm, with my partner knowing exactly what his part is.
Build me a small tool for the two of us, not a checklist app. It should tell us what to do and when, working back from my due date. Ask me my due date and my hospital first.

Hospital: find what my hospital supplies and what it asks parents to bring, show where you found it, and keep my list short, including what to leave at home. If you are not sure of something, say so.

Mileage log for the self-employed: trips by client, your rate and a yearly total

Puppy vaccination and care schedule tracker built from the dates your vet gives you

Enter the dates your vet gives you and get a calendar of shots, deworming and checkups with reminders to copy, a new puppy checklist and a record to share with a sitter.

Send this to SuperCat

We just brought home a puppy and I want to keep track of everything the vet tells us without losing it.
Build one tool: a profile for the puppy (name, birth date, breed, weight log) and a schedule where I enter the dates my vet gives me for vaccinations, deworming, flea and tick treatment and checkups, each with the date, what it was and done or not done. Show what is due in the next two weeks at the top. Let me add notes from each visit and the vet's contact.
A new puppy checklist (supplies to buy, first-week tasks, registration and microchip details) with done or not done and a few notes on training goals.
A read-only page I can share with a pet sitter with the feeding times, vet contact, allergies and the next due dates. A reminder I can copy into my phone. Phone friendly. It follows my vet's schedule, it does not set one.

Retirement party planning checklist with a program, RSVPs and a collection for a gift

A retirement party checklist counted down to the date, a program for the event, a guest list with a reply link, a budget and a simple gift collection tracker.

Send this to SuperCat

My team is throwing a retirement party for a colleague of 25 years, about 60 guests, and I'm organizing it.
Build one tool: a countdown checklist from eight weeks out (pick the date and venue, send invitations, plan food, ask for stories and photos, order the cake, prepare the speeches), each with a due date, an owner and done or not done.
A guest list with a reply link people open without an account to say yes or no, how many and dietary needs, with counts. A program for the event with times, who speaks and for how long, and a place to collect short stories and photos from colleagues.
A gift fund tracker: a target amount, who has chipped in and the running total, on a page only the planners get a link to. It tracks contributions and does not collect payment. A budget with planned and actual. A read-only link for the planning team. Phone friendly.

Secret Santa organizer with private links, exclusions and wish lists

Add your group, set who cannot draw whom and a spending limit, and everyone gets a private link showing only their pick and that person's wish list.

Send this to SuperCat

I'm organizing Secret Santa for 12 people, family and a few friends, and I want it simple and private.
Build one tool: I enter the names, who cannot draw whom (couples, last year's pairs), a spending limit and the exchange date. It draws the names so that everyone gets one person and nobody draws themselves or an excluded person.
Each person opens their own private link, with no login, and sees only who they drew, that person's wish list and the spending limit. They can add or edit their own wish list on the same page.
I do not see who drew whom. If someone drops out I can remove them and re-draw without anyone learning the old pairs, and everyone with a link sees the updated pick. A button copies the group message with the date and limit. Phone friendly.

Ski trip packing checklist for a group: gear, who brings what and the shared items

A plan for a group ski trip: who drives, boots and rentals, a fair cost split by nights, and a morning card for each day on the mountain.

Send this to SuperCat

Six of us are going skiing for four days and I want it to go smoothly: everyone on the mountain, nobody stuck sorting out gear or money.
Build me a small tool for the group. Ask me the dates, the resort, who is coming, who is driving, and who owns gear versus rents.
Home screen: the one thing to do tonight, who is driving and what time to leave, and what is still missing.
Gear for each person: own, rent or borrow, with boot and ski sizes collected in one place, and when to pick up rentals before the shop closes.
The money: the cabin, groceries and gas split fairly (by nights if someone comes late or leaves early), with who owes whom and the fewest payments that settle it.
When I tell you something changed (a friend can only come for one night), update the plan and say what moved.
A morning card for each ski day with the forecast, when to leave and what to check before leaving the cabin, including chains if the road needs them.
Works on a phone and is easy to share with the group. Reply with the link when it is ready.

Thanksgiving planner with a cooking schedule, shopping list and who brings what

A plan worked back from the time you eat: the one thing to do today, an oven schedule that spots clashes, a shopping list for your headcount, and who brings what.

Send this to SuperCat

I'm hosting Thanksgiving for about 14 people and I want to put everything on the table hot and on time without losing my mind.
Build me a small tool that works back from dinner time. Ask me the dinner time, the headcount, the size of my oven and what I am making.
Home screen: how many days to go and the one thing to do today. Include the things with lead times, like thawing the turkey.
A cooking schedule hour by hour for the oven and stovetop. Tell me when two dishes need the oven at the same time and how to fix it.
A shopping list scaled to my headcount, by store section, that leaves out what I already have. Warn me if my turkey is too small.
A page where guests pick a dish and say what they cannot eat, and a list of who brings what.
When I tell you something changed (a guest turns vegetarian, a smaller oven), update the plan and tell me what moved.

Wedding day timeline: ceremony, reception schedule and who needs to be where

A minute-by-minute wedding day timeline for the ceremony and reception, who needs to be where and when, shared by one link with the wedding party and vendors.

Send this to SuperCat

We're getting married in June with a 4 pm ceremony and a reception for about 120 people, and I want a day-of timeline that everyone follows.
Build one tool: a timeline from getting ready to the last dance, built from my ceremony time (hair and makeup, photos, ceremony, cocktail hour, introductions, dinner, toasts, cake, first dance, send-off), with a time, a place, a duration and who needs to be there for each part.
A page for each group (wedding party, family, photographer, DJ, caterer, venue) that shows only their part of the day and the contact for each vendor, opened from a link with no account. A list of who is giving a toast and for how long.
Let me move one time and shift the later ones, and see the total running time. A short list of things to hand over to the venue and a list of the key contacts. Phone friendly.

Open house sign-in that replaces the paper sheet and builds your follow-up list

Visitors scan a code at the door and sign in on their phone, and every visitor lands in one list with the next follow-up due, so no lead is left on a clipboard.

Send this to SuperCat

I'm a real estate agent and I hold open houses most weekends. I want to replace the paper sign-in sheet with something visitors fill in on their phone, and I want every visitor followed up.
Build one tool: a list of my open houses (address, date, start and end time). For each, a QR code I can print and put at the door that opens a short sign-in page, with no login for the visitor. Ask for name, phone, email, whether they are already working with an agent, whether they are pre-approved, their rough timeframe, and how they heard about the open house. Include an optional, unticked checkbox saying I may call, text or email them about this property and similar ones (message and data rates may apply), with a link to a short privacy note, and store the choice, the wording shown and the date.
Keep one list of all visitors across all my open houses, merged by phone or email, with a status (new, contacted, interested, not now) and a next follow-up date. A Today screen shows who I should contact today, oldest first, with a follow-up message I can copy and edit, written from what the visitor told me. I send the messages myself; SuperCat never sends them.
Show visitors per open house and a weekly summary. Export the list as CSV for my CRM, and add a button to delete a visitor on request. I sign in with my Google or Microsoft account; visitors' details stay private to me and the team members I add.

A plan for a birthday or surprise party: who is coming and when, who is bringing what, the night step by step, and SuperCat in the group chat to keep it all straight.

Send this to SuperCat

I'm throwing my partner a surprise 40th with about 25 friends, and the planning is all in a group chat he is not in. I want it to go off without a hitch.
Build us a small tool, and I'll add you to the party group chat so anyone can tag you to ask or tell you something. Ask me the date, the place, the guest list and what we need first.
Home screen: days to go, who is coming, and the one thing to do this week.
A guest list with when each person arrives, and a plan for anyone arriving late so nobody walks in with him.
Who is bringing what, with what is still open.
The night step by step, with who does each part.

Wedding checklist that counts down to your date, with a guest list and RSVP page

A wedding checklist set to your date, a guest list with replies in one place, a personal reply link for each guest, and a read-only page of the checklist you can share.

Send this to SuperCat

I'm planning my wedding and I want one place for everything instead of a list that goes out of date. The wedding is on a date I will give you, with about 90 guests.
Build one tool: a checklist of the usual wedding tasks grouped by how long before the date they are due (twelve months, nine, six, three, one month, final week), with a due date, who is responsible (me, my partner, a parent, a vendor) and done or not done. I can add, change and remove tasks. Show what is overdue and what is due in the next two weeks at the top.
A guest list with name, side of the family, address, plus-one, meal choice and a reply status. Each guest gets their own reply link, with no login, so a reply lands on the right row; they say yes or no, name the people coming and choose a meal, and I can see and correct every reply. Show counts: invited, replied, attending, meals by type.
A budget with planned and actual amounts by category and who has paid what, with the total against my limit. A vendor list with contact, price, deposit paid and what is still owed.
An unlisted read-only page I can send by link that shows only the checklist and the counts, with no addresses or budget. Phone friendly.

Average-cost inventory, sales profit and expenses for a reseller

Log each purchase as a lot, work out cost of goods from the average cost, and keep expenses, receipts and mileage in one place.

Send this to SuperCat

I resell collectibles, supplies and accessories online as a one-person LLC and want one simple bookkeeping tool to replace my Excel tabs. I keep YNAB for bank transactions.
Build one tool: Inventory with each purchase lot (date, supplier, item, quantity, total cost) and a running average cost per item, so a lot of thousands of items is one row, not thousands.
Sales: record each sale with price, fees and shipping. The tool takes the cost of goods from the average cost, lowers the stock count and shows profit per sale and per month.
Expenses: import my YNAB export as CSV and let me split one transaction across categories (inventory, supplies, equipment, software, shipping) with a note and a photo of the receipt. Spending in the inventory category creates or tops up a purchase lot so I enter it once.
Mileage: log trips with date, purpose and miles, with the IRS rate applied and a yearly total.
Reports: monthly and yearly profit and loss, inventory value on hand, cost of goods sold, and a tax-time CSV export for my accountant. Just me, phone-friendly, with a short checklist of what an accountant will ask for.

Estimates, invoices and tax-time books for a small renovation business

One simple tool for estimates, invoices, expenses and mileage that is easy enough to learn as you go and ends in a clean export for the accountant.

Send this to SuperCat

I am taking over the bookkeeping for a small renovation business: one owner on the tools, up to two helpers, a few jobs a month. I'm not a bookkeeper, so it needs to be easy to learn as I go, and it should replace heavy accounting software for estimates, invoices and expenses; my accountant still files my taxes.
Build one tool: Customers and jobs. For each job, an estimate with line items (labor, materials, other), tax, a deposit and notes, which I can share as a printable invoice and PDF that I send myself, and mark as approved. An approved estimate turns into an invoice, and I can invoice in stages.
Invoices: status draft, sent, paid and overdue, with a reminder note I can copy for anything overdue, and money received recorded with date and method.
Expenses: record each expense with a photo of the receipt and a category (materials, tools, fuel, insurance, subcontractors, other) and the job it belongs to, if any. Import a bank statement CSV and suggest matches to expenses that I confirm one by one.
Mileage: log trips with date, purpose and miles, with a per-mile rate that I set and can change each year, and a yearly total.
Reports: income and expenses by month and by job, what customers still owe, and a tax-time export for the accountant. Keep a short checklist of what the accountant will ask for. Plain words, no accounting jargon.

Fair check-in for a giveaway with more people than items

A shared-tablet check-in with a random draw order and a simple fairness rule, so a few volunteers can run the line with fewer data-entry mistakes.

Send this to SuperCat

I help run a weekly giveaway for a community group. There are usually more people than items, so we use a random draw to decide the order in which people choose. People line up outside, there is no check-in desk, only a few volunteers, many people have no smartphone or reliable internet, and some have limited English.
Build one tool for a single shared tablet, with very large buttons and simple words. A volunteer types a first name (or picks a regular from a list) and the tool gives that person a random number not used yet that day, which the volunteer hands over on a card. One tap fixes a typo or removes a name, and the tool warns if a name is already checked in today.
Draw order: when check-in closes, show the numbers in order on a big screen, and let a volunteer mark each person as having chosen an item or left without one.
Fairness rule: count each person's visits in a row without getting an item. After a number of misses that I set, they go first on their next visit and the tool shows that clearly.
Keep data to a minimum: first name, number, visit count and date. No phone numbers, addresses or photos. Volunteers sign in with a shared PIN and nothing is visible without it. Records delete themselves after 12 months, and I can delete a person's record on request. If the connection drops, show a clear reconnecting message and keep what was typed. Export a plain weekly attendance count.

Online shops· Inventory

Inventory, kits and purchase orders in one phone tool

Replace the purchase-order spreadsheet and hand counts with one tool that scans barcodes, builds kits and shows what to reorder.

Send this to SuperCat

I run a one-person online shop on BigCommerce and want one simple inventory tool that replaces my Google Sheet and my hand counts. I keep ShipStation for labels and QuickBooks for the books.
Build one tool: products with SKU, barcode, cost, supplier and a count of what is on the shelf. Print barcode labels for products and shelf bins, and let me scan with my phone camera to receive stock, pick an order and do a cycle count. Every scan goes into a log of who changed what and when.
Kits: I box 10 packs into one sellable case, so let me define a kit as its parts (10 packs = 1 case). Building 20 cases takes 200 packs off the shelf and adds 20 cases, and the kit shows how many more I can build.
Purchase orders replace my sheet: supplier, items, quantities, cost, status (draft, ordered, paid, shipped, received), ETA and payment date, with a receive screen that updates stock by scanning and flags anything short or late.
Reorder: from my weekly sales and each supplier's lead time, show what to order, how much and when, with the days of stock left for every product.
Orders: import my store orders from a CSV export and show a pick list sorted by shelf location. Export purchase orders and receipts as CSV for QuickBooks. Phone-first, with a helper login later that can scan and count but not see costs.

Follow up on late-paying commercial accounts without losing them

See who is overdue by account and for how long, get polite reminder drafts that grow firmer on a schedule you choose, and charge late fees only when you decide.

Send this to SuperCat

I run a small B2B service shop. Our larger commercial customers get 30-day terms and many pay much later, which ties up our cash. I put a late-fee policy on every invoice but never enforce it because I don't want to lose a big account over a small fee. I want one tool that makes following up easy and consistent.
Build one tool: a list of customers, each with a contact, payment terms and how they actually pay (average days to pay), and a list of invoices with number, amount, date sent, due date and status.
Overdue view: invoices by customer with days overdue and the total owed, oldest first, with the biggest and the longest-overdue at the top. Mark an invoice paid, or part-paid, with the date.
Reminders: for each overdue invoice, draft a short, polite message at set steps (a friendly note a few days after the due date, a firmer one at 15 days, a final notice at 30) from editable templates that I write once, which I can copy to send myself. Keep a log of what was sent and what they said, with a promised-pay date, flagged in the app if it passes.
Late fees: calculate what a late fee would be under my policy and show it. I decide per account whether to charge it, waive it as a goodwill gesture, or note it as a reason for stricter terms next time.
Reports: money owed by age (current, 1-30, 31-60, 60+), my slowest-paying accounts, and a monthly summary I can send to my accountant.

Job costing, receipts and invoices for a small trade shop

Photo each receipt to the job it belongs to, see profit per job, and send invoices from your phone without fighting accounting software.

Send this to SuperCat

I run a small plumbing business with one partner and no office person. I want one simple phone tool for jobs, receipts and invoices, so the business side stops being a second job. I'll keep my accountant and my bank.
Build one tool: Jobs with customer, address, status (quoted, in progress, done, invoiced, paid) and notes. Each job has a materials and labor list and shows cost so far, amount invoiced and profit.
Receipts: I take a photo of a receipt at the supply house, pick the job it belongs to, and enter supplier and total. If I don't pick a job, it goes on a "needs a job" list so nothing ends up on the wrong job by accident. Receipts can be split across two jobs.
Invoices: make an invoice from a job in a couple of taps, including partial invoices for jobs billed in stages, as an invoice page and PDF that I share myself, with my payment instructions printed on it. Mark paid with the date and method.
Reports: jobs that are done but not fully invoiced, money owed to me, and profit per job and per month. Export jobs, receipts and invoices as CSV for my accountant.

Replace the notebook with client notes, daily sales by payment type, expenses with receipts and a list of clients who have not been in.

Send this to SuperCat

I run a small hair salon and everything is on paper: appointments, what we take each day, expenses and client notes. I want one simple tool that replaces the notebook and that I and my stylists can use on a phone.
Build one tool: Clients with name, phone, last visit, favorite stylist and notes such as color formulas, allergies and what they usually book.
Daily log: for each visit record the client, stylist, services, price, tip and how they paid (cash, card, other). A closing screen shows the day's total by payment type so I can match it to the till.
Expenses: record supplies, rent, utilities and products with a photo of the receipt, by category.
Reports: weekly and monthly sales, expenses and profit, sales per stylist, and a list of clients who have not been in for 8 weeks so I can message them. Export everything as CSV for my accountant.

Break each payout into sales, refunds, fees and net, match it to the bank deposit and flag anything that does not add up.

Send this to SuperCat

We sell online with Shopify and take payments through Stripe, and I want one simple tool that reconciles payouts so the books match the bank.
Build one tool: import the Shopify orders export and the Stripe payouts and balance transactions as CSV files. For each Stripe payout, list the orders it covers and break it into gross sales, refunds, Stripe fees, chargebacks and net, then match the net to the bank deposit from a bank CSV.
Flag anything that does not add up: a payout with no deposit, an order with no payment, a refund in a different month, a fee that differs from the expected rate.

Check volunteers in at their shift and tally the hours

Volunteers sign up in one place and scan a code when they arrive, so hours and reimbursements come from who showed up, not who signed up.

Send this to SuperCat

I look after volunteer hours for a volunteer-run club. Volunteers already sign up for shifts, for example at a food stall, in another tool. I now need to record who actually shows up, so I can total hours and handle reimbursements. It must handle a large group of volunteers and have no per-volunteer fees.
Build one tool: a list of volunteers (name, phone or email) and a list of shifts (date, location, role, start and end time, how many are needed). Import the sign-ups from a CSV export of my sign-up tool, so I don't type them twice.
Check-in: a QR code for each shift location that volunteers scan with their phone camera when they arrive and again when they leave. A page opens where they type the first three letters of their name and pick themselves; it shows only first name and last initial, and nothing until three letters are typed. Arrival and departure are only accepted while the shift is open. A staff screen on a shared tablet does the same job for anyone without a phone.
Show for each shift who was expected, who arrived, who didn't, and any walk-ins, with a note field.
Hours: total hours per volunteer by season, with a rule for rounding, and a list of who has met the hours the club requires. Export it as CSV for the reimbursement and the treasurer.
Reminders: a message I can copy for people who have not yet met their hours. Keep volunteers' details private to me and the other organizers I add.
