How to reconcile Shopify and Stripe payouts with the bank without losing a month to it

Break each payout into sales, refunds, fees and net, match it to the bank deposit and flag anything that does not add up.

We sell online with Shopify and take payments through Stripe, and I want one simple tool that reconciles payouts so the books match the bank.
Build one tool: import the Shopify orders export and the Stripe payouts and balance transactions as CSV files. For each Stripe payout, list the orders it covers and break it into gross sales, refunds, Stripe fees, chargebacks and net, then match the net to the bank deposit from a bank CSV.
Flag anything that does not add up: a payout with no deposit, an order with no payment, a refund in a different month, a fee that differs from the expected rate.
Show a monthly summary with gross sales, refunds, fees, sales tax collected and net deposits, plus a list of items still unmatched that I can mark resolved with a note.
Export the summary and the matched payouts as CSV for the bookkeeper. Phone-friendly, and let me invite my bookkeeper with a read-only login.

What you get

  • Each payout broken into gross sales, refunds, fees, chargebacks and net.
  • Payouts matched to bank deposits, with anything unmatched on a short list.
  • Flags for missing deposits, orders without payments, cross-month refunds and unusual fees.
  • A monthly summary including sales tax collected and net deposits.
  • A read-only login and CSV exports for the bookkeeper.

What usually gets in the way

  • A payout is not the sum of the orders in a month. It is sales minus refunds, fees and chargebacks, paid out a few days later.
  • Refunds and chargebacks land in a different period from the sale they reverse, so monthly totals never match the store report.
  • Orders, payouts and bank deposits sit in three different exports with no shared identifier to line up.
  • Fees differ from the expected rate for reasons nobody is told about, and they are easy to miss in a long list.
  • A bookkeeper has to be given the same explanation every month.
The longer story

Reconciling a store against a payment processor goes wrong when it is done order by order. The bank does not see orders, it sees payouts, and each payout is a net figure: the sales it covers, less refunds, fees and any chargebacks. Working at the payout level, and treating the processor as a clearing account that the bank deposit then clears, matches how the money actually moves.

What makes it a monthly chore is the timing. A refund is paid out in a different period from the sale, a payout can straddle a month end, and each export names things differently. A tool that imports the three exports, builds the breakdown for every payout and shows only what does not match turns the job into a review of exceptions.

The request here is for CSV import, which works with any store and processor that can export files.

Average-cost inventory, sales profit and expenses for a reseller

Log each purchase as a lot, work out cost of goods from the average cost, and keep expenses, receipts and mileage in one place.

Send this to SuperCat

I resell collectibles, supplies and accessories online as a one-person LLC and want one simple bookkeeping tool to replace my Excel tabs. I keep YNAB for bank transactions.
Build one tool: Inventory with each purchase lot (date, supplier, item, quantity, total cost) and a running average cost per item, so a lot of thousands of items is one row, not thousands.
Sales: record each sale with price, fees and shipping. The tool takes the cost of goods from the average cost, lowers the stock count and shows profit per sale and per month.
Expenses: import my YNAB export as CSV and let me split one transaction across categories (inventory, supplies, equipment, software, shipping) with a note and a photo of the receipt. Spending in the inventory category creates or tops up a purchase lot so I enter it once.
Mileage: log trips with date, purpose and miles, with the IRS rate applied and a yearly total.
Reports: monthly and yearly profit and loss, inventory value on hand, cost of goods sold, and a tax-time CSV export for my accountant. Just me, phone-friendly, with a short checklist of what an accountant will ask for.

Inventory, kits and purchase orders in one phone tool

Replace the purchase-order spreadsheet and hand counts with one tool that scans barcodes, builds kits and shows what to reorder.

Send this to SuperCat

I run a one-person online shop on BigCommerce and want one simple inventory tool that replaces my Google Sheet and my hand counts. I keep ShipStation for labels and QuickBooks for the books.
Build one tool: products with SKU, barcode, cost, supplier and a count of what is on the shelf. Print barcode labels for products and shelf bins, and let me scan with my phone camera to receive stock, pick an order and do a cycle count. Every scan goes into a log of who changed what and when.
Kits: I box 10 packs into one sellable case, so let me define a kit as its parts (10 packs = 1 case). Building 20 cases takes 200 packs off the shelf and adds 20 cases, and the kit shows how many more I can build.
Purchase orders replace my sheet: supplier, items, quantities, cost, status (draft, ordered, paid, shipped, received), ETA and payment date, with a receive screen that updates stock by scanning and flags anything short or late.
Reorder: from my weekly sales and each supplier's lead time, show what to order, how much and when, with the days of stock left for every product.
Orders: import my store orders from a CSV export and show a pick list sorted by shelf location. Export purchase orders and receipts as CSV for QuickBooks. Phone-first, with a helper login later that can scan and count but not see costs.
