How a home baker can take cake orders with a form, track deposits and see the week's bakes and pickups in one place

An order form customers fill in, a calendar of orders and pickups, deposits tracked, and a baking list for the week, with a daily order limit you set.

I bake custom cakes from home and take 10 to 20 orders a week through messages, and I double-booked a weekend last month.
Build one tool: an order form customers fill in from a link, with the date and time they want, size or servings, flavor, filling, design notes, a photo upload for inspiration, allergies and contact details. A limit on orders per day that I set: once it is reached, that day stops taking new orders.
A calendar of orders by day and a baking list for the week (what to bake, what to buy, what to prepare) built from them. A status for each order (new, deposit paid, baking, ready, picked up) and a deposit amount and balance.
A simple page for each order with its details, where the pickup address shows only there and not on the public form. A list of customers with what they ordered before. Keep customer details off other customers' pages. Phone friendly.

What you get

  • An order form customers fill in from a link, with a photo upload and allergies.
  • A daily order limit you set: a full day stops taking new orders.
  • A calendar of orders and a baking list for the week.
  • A status, deposit and balance for each order.
  • A customer page with the order details and the pickup address.

What usually gets in the way

  • Orders arrive in messages, comments and phone calls and one is missed.
  • A weekend gets double-booked because there is no limit.
  • Deposits and balances are tracked on paper.
  • Allergies and design notes are scattered.
  • The baking list for the week is rebuilt by hand.
The longer story

A home baker’s constraint is hours in the oven, and the failure mode is a day booked beyond them. Orders that arrive by message, comment and phone make that easy, because there is no single place that shows the whole week.

An order form with a limit on orders per day makes double-booking much harder, and collecting the allergies and the design notes in the form removes the follow-up messages. A calendar and a baking list built from the orders turn the week’s plan into something you can use at the counter.

A status and a deposit on each order keep the money straight until the cake is picked up.

The form records what the customer tells you about allergies; how you handle and label the food stays with you.
