I'm organizing our neighborhood's trunk-or-treat in the church parking lot for about 30 cars, and a class Halloween party for 25 kids.
Build one tool for each event on one page: a sign-up page guests open from a link with no account. For the trunk-or-treat, each family signs up a car with a name, a theme and how much candy they will have, with a limit on the number of cars, a map spot number and a count of how many kids they expect. For the party, categories (snacks, drinks, treats, supplies) with how many of each I want, and guests pick what they will bring and add an allergen note.
I see who is coming, what is still missing by category, the headcount and an allergy list. A deadline to close sign-ups, a way to edit or remove an entry, and a button to copy a reminder for the group chat. Do not ask for children's names, and show allergy notes to me only, not to other guests. Phone friendly.

What you get
- A sign-up page guests open from a link, with no account.
- Car spots with a theme and a candy count for a trunk-or-treat.
- Categories with the number you want for a party, so gaps show.
- A headcount and an allergy list in one view.
- A deadline and a reminder you can copy into the group chat.
What usually gets in the way
- The sign-up sheet at school gets lost and the parking lot is half full.
- Everyone brings candy and nobody brings napkins or drinks.
- Allergies come up on the day, not before.
- You cannot tell how many cars or kids to expect.
- Chasing replies takes longer than planning the event.
The longer story
Halloween events run on volunteers. A trunk-or-treat needs enough cars with enough candy, and a class party needs the right mix of snacks and supplies, and in both cases the organizer is chasing replies a week before.
One link with categories and counts shows the gaps while there is still time to ask a few families, and the headcount and the allergy list come from the same replies. A spot number for each car makes a parking lot layout possible before the day.
The same page works for a neighborhood trunk-or-treat, a school party or a church event.
